Overview Operations Manager— Keep Nio Robotics running, ready, and field-deployable
Nio Robotics is building
Aru , a general-purpose robot designed for demanding industrial tasks on steel infrastructure (de-coating, painting, welding prep, inspection, constrained-space interventions…). We’re growing fast, and we need someone to ensure the smooth administrative and logistical running of the company.
As
Office Manager , your core mission is simple:
keep things running .
You provide cross-functional support to the product, engineering, and leadership teams by handling the administrative, logistical, and organizational aspects of day-to-day life at Nio.

Responsibilities
Provide
administrative and organizational
support to internal teams and leadership.
Manage
logistical processes
related to field missions, travel, equipment shipping, and events.
Ensure the
smooth running of the office
and coordinate external service providers.

Administrative Support&Internal Coordination
Assist Product Managers and VPs with their operational and administrative needs.
Keep internal documentation up to date: inventories, contact lists, procedures, and access rights.
Manage shared collaboration tools (accounts, cloud access, messaging platforms, etc.).
Coordinate agendas and partner visits (on-site logistics, access management, scheduling).
Office&Facilities Management
Organize office layout and improvements: desks, rooms, storage, workshop areas.
Ensure compliance with safety standards across the premises (machinery, PPE, workspace organization).
Logistical Support for Events&Field Deployments
Prepare equipment shipments for client demos, trade shows, and field trials: customs paperwork, export requirements, packaging, insurance, lead times, and carriers…
Coordinate the preparation of required materials: consumables, PPE, tooling, and spare parts.
Oversee end-to-end logistics: from planning through shipment, to return and debrief.
Partner Ecosystem Interface
Handle mutual equipment shipments or loaned gear.
Facilitate access to shared resources and collaboration tools.
Maintain a clear and efficient operational interface between Nio Robotics and its partners.
Key Skills
Strong organizational skills: you build processes, track open items, and see tasks through to completion.
Proactive and self-driven: you anticipate needs and take initiative without waiting for detailed instructions.
Administrative rigor: you are comfortable managing documents, procedures, and inventories.
Strong interpersonal skills: you can work effectively with cross-functional teams, external providers, and partners.
Bonus Points
Experience in administrative management within a technical or industrial environment.
Familiarity with logistics constraints around sensitive equipment shipping (documentation, insurance, packaging).
Experience supporting cross-functional teams (product, engineering, leadership).
